Event & Refund Policy

APGA Event Policies

APGA Events include but are not limited to Board meetings, conferences, workshops, webinars, and committee, subcommittee, and task group meetings.  The below policies apply to all Participants in APGA Events, which includes but is not limited to registrants, speakers, exhibitors, staff, guests, hospitality/venue staff, and vendors.  Participation constitutes agreement to comply with these policies. 

You must have an apga.org user account to register for any APGA event. Some events may have additional restrictions (e.g., open to APGA members only).  

Meeting and Event Recording 

  • Recording of all APGA Events is strictly prohibited unless prior authorization has been granted by APGA’s President & CEO.
  • This prohibition includes the use of artificial intelligence (AI) “meeting bots” that may record, transcribe, and/or summarize virtual meetings for users.
  • If an APGA Event is to be recorded, APGA will make Participants aware of the recording before the Event begins.

Code of Conduct 

  • APGA strives to foster a culture of inclusiveness, and APGA meetings are intended to reflect this culture while providing our members and other Event Participants the opportunity to exchange ideas and information in order to better serve the public gas community.  To maintain this environment of respect and consideration, harassment, discrimination, and violence of any kind is strictly prohibited.
  • Those found in violation of this code may be asked to leave the APGA Event without refund and may not be permitted to participate in future APGA Events, at the discretion of APGA.
  • Suspected violations of this code or other Event policies should be reported to the APGA President & CEO, APGA Board Chair, or APGA General Counsel as soon as possible.

Antitrust

  • APGA and its members are committed to complying with all applicable antitrust laws.
  • Accordingly, APGA’s antitrust guidelines are in effect for the duration of all APGA events, and all Participants must abide by these guidelines.
  • Please report any antitrust concerns promptly to APGA’s General Counsel or other APGA staff.

Image Release

  • By registering for and/or attending an APGA event, you are indicating your consent to be filmed and/or photographed and to the use of your image, without payment of any kind, for use in program(s) and for other promotional/editorial activities of APGA for future use in any and all media, now known or hereafter created.

Information Disclosure

  • By registering for an APGA event, you understand that your contact information may be provided to the event exhibitors or sponsors, upon request, as a benefit of their participation.  This information may be used by exhibitors or sponsors to provide Participants with information about their products and services.

Attendee Waiver and Release of Liability

  • By registering for and/or attending an APGA event, you voluntarily assume all risks and accept sole responsibility for any injury (including, but not limited to, personal injury, disability, and death), illness, damage, loss, claim, liability, cost and/or expense (collectively, “Claim(s)”), of any kind, that you (and/or your guests, relatives, contacts, or others) may incur in connection with your travel to (or from) or attendance of the event, except to the extent the Claim is directly caused by APGA’s gross negligence or reckless or intentional misconduct.
  • TO THE FULLEST EXTENT PERMITTED BY LAW, YOU HEREBY IRREVOCABLY RELEASE, DISCHARGE, AND COVENANT TO HOLD HARMLESS AND NOT TO SUE APGA, ITS RESPECTIVE EMPLOYEES, AGENTS, REPRESENTATIVES, CONTRACTORS AND AFFILIATES, OF AND FROM ANY SUCH CLAIM(S) (WHETHER BASED ON NEGLIGENCE OR ANY OTHER GROUNDS) ARISING OUT OF OR RELATING TO YOUR (AND/OR YOUR GUEST(S)’) TRAVEL OR ATTENDANCE IN CONNECTION WITH THE EVENT, EXCEPT TO THE EXTENT THE INJURY, ILLNESS, DAMAGE, LOSS, LIABILITY, COST AND/OR EXPENSE WAS DIRECTLY CAUSED BY APGA’s GROSS NEGLIGENCE OR RECKLESS OR INTENTIONAL MISCONDUCT.
  • If APGA changes an event’s location and/or dates, this waiver and release will also apply regarding any event thus modified.

APGA Research Foundation (RF) and APGA Security and Integrity Foundation (SIF)

Event Refund & Room Block Policies

  • A request for a refund of a conference or workshop registration up to seven calendar days before the event will be refunded 100%.
  • A request for a refund within seven calendar days of a conference or workshop will be denied except for limited circumstances (e.g. unexpected medical event or death).
  • A request for a refund after the event due to a no-show will be denied.
  • APGA encourages all exhibitors and attendees to make their room reservations directly with the meeting hotels listed. They are the only authorized agents we have appointed and APGA does not contract with third-parties to sell you hotel rooms. Membership Dues Policy

  • APGA Membership dues are approved by the membership each year at the APGA Annual Meeting and are nonrefundable except for limited circumstances outlined in APGA’s Bylaws.
